MAT/School Vacancy Approval Process
The recruitment process in schools is not as straightforward compared to other sectors, this can make it time consuming and difficult to manage at times. As FACE-Ed is an applicant tracking system, this allows MATS to keep track of all their school vacancies, storing them all in one place. This ensures budget and operational approval is given before posts are advertised. Vacancy Approval Request Forms can be customised and automated to be suited to your school, speeding up the process from the very start. This in turn reduces lengthy administrative processes and creates a workflow that meets all your recruitment needs.
Vacancy page hosting and job distribution
Our aim when building FACE-Ed was to make every aspect of recruitment in schools as seamless as possible for both schools hiring and prospective applicants. FACE-Ed allows you to manage all job vacancies directly from within the platform, enabling you to publish open positions to your Trust or school website. Not only does this make advertising easier, but it also allows applicants to easily apply for open positions directly through your website.
FACE-Ed can link with your school website, school social media and post to job boards, such as Indeed, at the push of a button.
Shortlisting
There are many benefits to using FACE-Ed when it comes to shortlisting. To further cut down on admin time, FACE-Ed allows you to quickly prepare documents and delegate shortlisting packs to your shortlisting panel. Using FACE-Ed means you can bulk print or email shortlisting packs, anonymise applications and remove equal opportunities information from each applicant. Alternatively, the shortlisting panel can obtain access to FACE-Ed and view everything anonymously within the system, enabling them to directly add their own notes/scores.
FACE-Ed also includes a feature where you can communicate with prospective applicants directly within the software. This can be utilised to ask questions; communicate anything you might need from them or invite them to an interview. Not only does this keep all communications visible and in one place, but it also allows candidates to communicate with you as well, keeping them more engaged within the recruitment process.
Interviewing, Taking References and Undertaking Initial Screening
Interview processes tend to be extremely manual and time-consuming, especially when it comes to obtaining references and inviting people to interview. When an applicant is moved to the ‘invite to interview’ stage, straight away you can request references from the referee and ask applicants to start uploading copies of the required documentation (e.g., ID, Right to Work, Qualifications). All documents will be stored in the applicant’s profile on FACE-Ed and on the date of interview, the Hiring Manager will be able to verify these documents pre-uploaded, saving time on photocopying and scanning these all on the day. If the applicant is successful, this information can be transferred onto the onboarding tracker, making the process as automatic as possible. If FACE-Ed is purchased alongside SAMpeople, our HR Software, information created in FACE-Ed will go straight into the employee’s profile in SAMpeople.
With substantial amounts of details that need to be checked, sometimes issues can be missed. One of the many benefits to FACE-Ed is that the system will automatically flag any issues detected. Whether this be gaps in employment, declarations of interest or qualification mismatches.
Similarly, to the shortlisting packs, FACE-Ed can bulk print or email applications to the interview panel, anonymising information if they choose to, or they can view and make notes directly in the application with access to FACE-Ed.
SCR (Single Central Record), Onboarding and Vetting Checks
At FACE-Ed we wanted the process to be as simple as possible from start to finish. Once a candidate has been successful through all the stages and accepted the offer, FACE-Ed assists with the onboarding process. All within one platform you can pre-upload their onboarding pack, their offer of employment, induction pack, personal details form, bank details form, safeguarding information and pension information. By having it all in one place and ready for your new employees start date, it allows them to fill out all relevant paperwork before their first day.
Ensuring you are compliant with your Single Central Record requirements, FACE-Ed will also help check that all vetting checks are completed (e.g., Prohibition, DBS, Overseas Teacher etc.)
